  • Position Overview:

    Wisconsin Indianhead Technical College is seeking qualified candidates for a full-time Scheduling Technician. Under the direction and supervision of the Academic Affairs Specialist, Scheduling and Curriculum Systems, the Scheduling Technician contributes to the efficient and responsive operation of the Workforce Development and Advancement Division scheduling of continuing education classes and WITC centralized scheduling. Responsibilities include PeopleSoft class scheduling for Continuing Education open enrollment classes district-wide, the master room scheduler for Continuing Education classes district-wide, as well as backup for the Rice Lake Campus room scheduling, UGRD and Student Success class scheduling. Responsibilities are comprehensive, diverse, and multifaceted, requiring knowledge of all related College policies and procedures. Working in a team environment, individual provides excellent customer service to staff, students and external publics with minimum supervisory guidance.

     



    Preference to the Rice Lake Campus location, but this position can be staffed at any WITC Campus location or the Administrative Office.

    Qualifications:

    Minimum

    • Two years related post-secondary training or four years related work experience, OR a combination of related training and work experience totaling four years. Associate Degree preferred

    • Strong customer service skills and interpersonal skills required

    • Demonstrated organizational skills, dependability and the ability to work independently and in a team environment

    • Proficient in the use of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and in the use of a personal computer, computer applications and software required

    • Must possess excellent oral and written communication skills

    • Strong proofreading skills required

    • Must be able to flex hours to accommodate limited evening work

    • Proven ability to problem-solve and think critically




    Preferred

    • PeopleSoft and 25LIVE experience preferred

    • Experience working in a technical college or education setting




    Physical Demands:

    Sedentary: Exerting up to 10 lbs. of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sitting most of the time. Walking and standing required only occasionally.



    Job Description:


  • Class scheduling for open enrollment Continuing Education classes in the Workforce Development and Advancement Division

    o Enter class scheduling data for Continuing Education classes district-wide into PeopleSoft according to approved procedures (i.e. fee and credit adjustments, allow/remove from web for registrations, class association numbers, class section numbering, appropriate meeting patterns for various modes of instruction, exception dates, class notes, dynamic dating, etc.)

    o Troubleshoot errors on class scheduling spreadsheets; problem solve and correct to ensure data is correct and class is scheduled appropriately

    o Analyze data entry and room scheduling processes; research and implement solutions to continuously improve and streamline the process

    o Continuously monitor the CNED scheduling mailbox for changes to classes and room assignments; problem solve and correct to ensure class is scheduled and placed appropriately

    o Create and run reports to determine the needs of the facility, communicate information to appropriate individuals for internal and external customers; troubleshoot and solve any discrepancies immediately

    o Follow up on Staff Account Edits (research and obtain correct information; enter correct information into PeopleSoft) on a monthly basis

    o Following the end of each term, process “0” enrollment classes in PeopleSoft

     



  • Master room scheduler for Continuing Education classes district-wide

    o Run the batch process for Continuing Education classes each term prior to open enrollment classes being available to the public for registration (verifying room characteristics, critical rooms, etc.); troubleshoot and solve issues to ensure correct placement of all CE classes

    o Continuously monitor 25LIVE Transactional; assign classes as they come through the transactional process; troubleshoot and solve issues to ensure correct placement of classes

    o Troubleshoot and facilitate solutions to issues in PeopleSoft and 25LIVE software

    o Determine and update business processes related to room scheduling for Continuing Ed classes district-wide to improve communication with all affected departments (ITV, Facilities, Conference Centers, Programmers)

  • Other Duties as assigned

    o Work with scheduling counterparts in UGRD scheduling, Contract Scheduling and Transcripted Credit scheduling as needed

    o Coordinate room changes to facilitate large campus events that impact class scheduling
